What event merchandise costs

A real worked example

100 paper show bags with a one colour print come to $249 plus GST, which is $2.49 each including setup. A full delegate kit of a tote, a pen, a notebook and a lanyard usually lands between $9 and $16 per person at 100 to 250 units. Price each part with its own calculator and add them up.

Buy one thing people keep, not five they do not

The standard mistake at an expo is spreading a small budget across five cheap items so the stand looks full. It does not work. One item people actually want beats a bowl of branded rubbish every time, because the cheap items go in the bin at the airport and the good one goes home. If your budget is $500, buy 100 good things rather than 1,000 poor ones.

Order the print and the merch together

Your pull up banner, your brochures, your table cover and your giveaways are all the same job with the same deadline and the same artwork. We do both sides of that, which is unusual: most promo suppliers do not print, and most printers do not do merchandise. One conversation, one set of dates, one delivery.

Work backwards from the event date

Standard promotional production is seven to ten working days after artwork approval, plus freight. Artwork approval takes as long as it takes you to reply. So for a hard event date, start three to four weeks out. If you are inside that, tell us the date first and we will only quote items that can actually make it.

Artwork for promotional products

Send a vector file: EPS, AI or PDF with the fonts outlined. A JPG or PNG taken off a website cannot be screen printed or engraved cleanly at product size. Send your brand colours as Pantone references too, because decoration is colour matched to Pantone rather than CMYK, and a colour that looks right on screen will not necessarily mix the same in ink.

Decoration areas are smaller than people expect. If your logo has fine detail, small type or a tagline, it may need simplifying to survive at 35mm wide. We will tell you before you commit, and you will see it on the mockup at actual size. If all you have is a low resolution logo, say so and we will redraw it.

Frequently asked questions

What should I give away at a trade show?

Something useful enough to survive the trip home. Pens, bottles, tote bags and power banks all clear that bar. Avoid novelty items with no function, because they get binned before the attendee reaches the car park.

How much should I spend per person at an expo?

It depends on who is walking past. For general foot traffic, one to three dollars a head on something useful. For qualified leads and booked meetings, ten to thirty dollars on something good. Splitting your budget into a general giveaway and a smaller premium tier works better than one middling item for everyone.

How far ahead do I need to order?

Three to four weeks before the event to be comfortable. Standard production runs seven to ten working days after artwork approval, plus freight, and artwork approval always takes longer than people plan for. Tell us the event date up front and we will only quote what can make it.

Can you do the banners and the merchandise together?

Yes, and that is the point of ordering here. Pull up banners, media walls, printed tablecloths, brochures and merchandise are all one job with one deadline. Most promotional suppliers cannot print, and most printers do not do merchandise.

What goes in a conference satchel?

Usually the bag, a pen, a notebook, a lanyard and the printed program. Ordering the five items in one job means one artwork approval and one delivery, and it normally gets you over a better price break on each.

Do you supply printed tablecloths and stand gear?

Yes. Printed tablecloths, pull up banners, media walls, marquees and A-frames are all on the site with live pricing, and they can go on the same order as your merchandise.

What if my event date is very close?

Tell us the date before anything else. Some products can be turned around quickly and some cannot, and the Australian Made range is usually the fastest option because it is not sitting on a ship.
